    Responsibilities

    Provides administrative assistance to the Managing Director of Strategic Initiatives and the IMO team, enhancing the executive's and team's effectiveness.


    • Maintain and manage MD’s and IMO calendar, assist with priority of scheduling, organize events
    • Screen incoming calls and correspondence and respond independently when necessary;
    • Compose and prepare confidential and time-sensitive correspondence, reports and other complex documents;
    • Create and maintain effective filing system;
    • Arrange complex and detailed travel plans and itineraries;
    • Manage travel expense reports, ensuring accuracy and adherence to policy;
    • Compile documents for travel related meetings;
    • Prepare MD’s monthly expense report, assist other team members where needed;
    • Maintain confidentiality of all corporate, personnel and research matters;
    • Review invoices and other documents for accuracy prior to obtaining authorization signatures;
    • Assist in the preparation of various presentations;
    • Handle ad hoc projects, serve as backup for other executives

    Qualifications

    Minimum of 5 years of administrative experience supporting an Executive Level team member
    • Proficient in Outlook calendaring, Microsoft Word, Excel, and Powerpoint
    • Ability to be highly organized and work independently

    • Excellent verbal and written (spelling and grammar) communication skills
    • Ability to manage and prioritize multiple tasks in a fast-paced environment
    • Ability to handle sensitive information with the highest degree of confidentiality and professionalism
    • Strong interpersonal skills at all levels, whether interacting internally or externally
    • Ability to work extended hours, as required
    • Ability to travel to New York and Livingston offices, as required
